JOB SUMMARY: The Special Projects Officer reports to and works under the direction and supervision by Program Supervisor – Child and Youth Health.

 

PURPOSE & SCOPE OF THE POSITION:

 

The Special Projects Officer shall assist with the completion of assigned projects related to development of reports, and proposals, coordination of events, and activities for the Department of Wellbeing – Child and Youth Health. The Special Projects Officer will be undertaking a review and gap analysis of claims processes relevant to the Six Nations community. The Special Projects Officer will stay up to date with changes pertinent to the First Nations Child and Family Services and Jordan’s Principle Settlement and putting forth recommendations based on the information and feedback obtained. The Special Projects officer will assist with compiling and analyzing community feedback data as well as data for services provided within the portfolio.

BASIC QUALIFICATIONS:

 

Minimum Requirements:

  • A Baccalaureate in Health Sciences, Health Administration, Political or Social Sciences OR College Diploma with 5 years of experience working in related fields.
  • 1-year experience working in the role of Jordan’s Principle Navigator or equivalent
  • Ability to work independently and with a team
  • Excellent interpersonal, verbal and written communication skills
  • Must have a vehicle and Class G driver’s license
  • Must successfully pass a vulnerable sector police record check

 

Other Related Skills:

  • Excellent knowledge of the Six Nations Community and highly sensitive to Six Nations culture.
  • Understands the importance of confidentiality. Ability to work with tact and discretion; high-level public relations skills and good project management skills.
  • Experience in administrative support functions, especially the scheduling and organization of meetings
  • Ability to take minutes and transcribe recorded sessions
  • Exhibits high degree of initiative and self-direction; good analytical and organizational skills.
  • Working knowledge of governmental policies, programs, services and procedures at the Federal, Provincial and Regional levels relative to the delivery of services to First Nations peoples.
  • Comprehensive understanding of Jordan’s Principle

POSITION DESCRIPTION – WELLBEING

 

POSITION TITLE:                     Special Projects Officer

 

REPORTING RELATIONSHIP:

 

Reports to and works under the direction and supervision by Program Supervisor – Child and Youth Health.

 

PURPOSE & SCOPE OF THE POSITION:

 DUTIES & RESPONSIBILITIES:

 

  1. Technical Functions:
  • Perform a gap analysis of claims processes – including current and previous settlements relevant to the Six Nations community.
  • Schedule and attend meetings for the projects and activities assigned.
  • Research and collection of resources related to claims process and other assigned projects as required.
  • Assist with the preparation of materials, reports and publications.
  • Record/transcribe and take minutes of meetings and sessions.
  • Assist with the preparation of materials for meetings and takes minutes of these meetings.

 

  1. Communications Functions:
  • Liaise and interact with local agencies in the monitoring of statistics and services relevant to Six Nations
  • Liaise with stakeholders involved in the First Nations Child Services settlement including but not limited to First Nations and Inuit Health Branch, Indigenous Services Canada, claims administrator Deloitte, PTO’s, First Nations communities and advocates.
  • Create consultation process/projects in person and by telephone and answer questions related to their participation in the process.
  • Refer relevant enquiries to the Program Supervisor.
  • Liaises with other service providers as deemed appropriate.
  • Reviews/monitors/participates in the planning/facilitation of group sessions.
  • Process incoming/outgoing correspondence.
  • Plan and execute communication strategies to inform potential claimants in the Six Nations community of updates related to the compensation.

 

  1. Administrative Functions:
  • Prepares relevant reports and documents as may be required.
  • Forward invoices to be prepared for payment.
  • Develops long term strategy for service expansion as required.

 

  1. Other Functions:
  • Performs any other related duties as may be assigned by the Director of Wellbeing, Portfolio Lead Team or Program Supervisor
  • Provides support to the Six Nations Emergency Measures Plan by ensuring awareness of the Emergency Measures Plan and assistance as instructed by the Director of Wellbeing
  • It is the responsibility of the employee to be aware of and adhere to all policies and procedures, including those that relate to client safety, staff safety and risk management.

 

WORKING CONDITIONS:

 

  • The work involves contact/interaction with community members and therefore could involve some stress given the diverse views and opinions with respect to the various specified projects.
  • The work involves assessment of claims processes for recent settlements. Information obtained could be triggering.
  • Work requires physical activity and mental stress; requires working inside/outside; requires travel; requires extensive interactions with the public, who at times may be hostile or irate; subject to interruptions, deadlines, unscheduled hours.
  • Work requires the ability to prioritize tasks; work independently with minimal supervision and cope with many demands and time constraints.

 

WORKING RELATIONSHIPS:

 

With the Director of Wellbeing and Portfolio Lead Team

Receives direction and guidance. Discusses plans, priorities and interacts to ensure tasks are done efficiently and effectively; receives instruction.

 

With the Program Supervisor

Receives direction and guidance and discusses plans, prioritizes to ensure tasks are done efficiently and effectively, receives instructions and supervision.

 

With the Community

Represents and promotes Six Nations Elected Council and Health Services Department in a courteous, cooperative and professional manner. Works with staff/other Six Nations agencies with courtesy, cooperation and teamwork. Develops sound professional working relationships.

IMPACT OF ERROR:

 

Errors in judgement and in the conduct of duties could lead to loss of credibility, poor public relations, confusion, duplication of effort and misinformation being given to the Director of Wellbeing, Senior Administrative Team, Six Nations of the Grand River Elected Council, Government Agencies and the public.

 

CONTROL:

 

Guiding principles set by Wellbeing Department and Six Nations of the Grand River Elected Council. Works within the administrative policies and procedures established by the Six Nations of the Grand River Elected Council for the Wellbeing Department and other legislation provided by the respective governments.
