General Office Assistant
Location: Nimkee NupiGawagan Healing Centre, Muncey, Ontario
Position Type: Full-Time
Compensation: $50,000 – $64,000 annually, based on experience and qualifications
Schedule: Monday–Friday, daytime hours with flexibility required based on operational and program needs
Position Overview
Nimkee NupiGawagan Healing Centre is a culturally grounded residential healing program supporting Indigenous youth through trauma-informed care, traditional teachings, land-based learning, and relational approaches to healing. Rooted in Indigenous values, community accountability, and holistic wellness, Nimkee provides a safe and supportive environment where youth can reconnect with identity, culture, and hope.
The General Office Assistant plays an essential role in supporting the daily operations of the Healing Centre by providing administrative assistance to both the Treatment Team and Cultural Programming Team. This position supports communication, organization, scheduling, documentation, purchasing, and office coordination across multiple departments within a fast-paced residential, cultural and treatment environment.
The successful candidate will be highly organized, adaptable, professional, and capable of maintaining confidentiality while working respectfully within an Indigenous healing environment. This role requires strong interpersonal skills, initiative, attention to detail, and the ability to balance multiple priorities simultaneously.
Key Responsibilities
Administrative Support – Treatment Team
- Support intake and admissions processes through preparation and organization of client files and documentation
- Maintain accurate and up-to-date electronic and paper records in accordance with privacy, confidentiality, and organizational standards
- Assist with appointment scheduling, calendars, meeting coordination, and reminders for clinical and treatment staff
- Support documentation processes including filing, scanning, tracking forms, and organizing reports
- Assist with data entry and reporting related to client information, attendance, case note tracking, and program statistics
- Prepare meeting agendas, minutes, correspondence, and internal documents as required
- Assist staff with administrative coordination related to youth programming and treatment activities
- Ensure records and documentation are securely maintained and properly archived
- Support onboarding and administrative orientation processes for new staff as needed
General Office Administration
- Answer phones, direct calls, take messages, and respond to general inquiries in a professional and welcoming manner
- Greet visitors, families, community members, contractors, and service providers respectfully and professionally
- Manage incoming and outgoing mail, email correspondence, and deliveries
- Assist with ordering office supplies, tracking purchases, and maintaining organized inventory systems
- Support staff with printing, photocopying, scanning, filing, and document preparation
- Maintain organized office systems, storage areas, filing systems, and shared administrative spaces
- Support internal communication and coordination between departments
- Assist with maintaining calendars, schedules, and shared booking systems
- Provide administrative support for meetings, staff training sessions, orientations, and organizational events
- Assist with tracking mandatory training records, certifications, and documentation
- Maintain professionalism, confidentiality, and respectful communication at all times
Additional Responsibilities
- Support a positive, welcoming, and culturally safe environment for youth, staff, families, and community members
- Participate in team meetings, training, and organizational initiatives as required
- Demonstrate flexibility and willingness to assist with emerging operational needs
- Perform other related duties as assigned
Qualifications
Education & Experience
- Diploma or certificate in Office Administration, Business Administration, or a related field, or equivalent combination of education and experience
- Minimum two (2) to three (3) years of administrative or office support experience
- Experience working in health care, mental health, residential care, education, Indigenous organizations, or social services environments is strongly preferred
- Strong organizational, administrative, and time management skills, with the ability to manage multiple priorities and follow through on tasks
- Clear, respectful, and effective communication skills, both verbal and written
- Ability to maintain confidentiality, professional boundaries, and ethical practice at all times
- Capacity to work effectively in a fast-paced, dynamic, and team-oriented environment
- Experience supporting multiple departments or interdisciplinary teams considered an asset
- Experience working in a fast-paced environment with multiple priorities
Knowledge, Skills & Abilities
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines
- Strong written, verbal, and interpersonal communication skills
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and Teams
- Comfortable using electronic records systems, databases, and digital filing systems
- Ability to maintain confidentiality, professionalism, and appropriate boundaries
- Ability to work independently while also functioning effectively as part of a team
- Strong problem-solving skills and adaptability
- Demonstrated reliability, initiative, and professionalism
Working Conditions
- Primarily office-based with regular interaction in a residential healing environment
- Frequent sitting, typing, computer work, filing, and phone communication
- Occasional lifting or movement of office supplies and program materials
- Interaction with youth, families, Elders, staff, and community members
- Work may involve exposure to emotionally sensitive situations and confidential information
- Flexibility may occasionally be required to support organizational events, cultural activities, or operational needs

Successful candidates will be required to provide:
- Satisfactory CPIC / Vulnerable Sector Check / Broad Record Check
- Valid Class G Driver’s Licence
- Current Driver’s Abstract
- Proof of education and certifications as applicable
