Function & Overview

Reporting to the Human Resources Manager, the Human Resources Administrator has the responsibility to support all Six Nations Polytechnic (SNP) Human Resources functionalities, including participation in the administration of diverse HR strategies across the organization. The position supports the HR Department in ensuring employee-centered programs and processes are effectively executed and managed, in accordance with SNP policy and procedures, Employment Law, and Human Rights legislation. The Human Resources Administrator is required to perform all duties consistent with the governance values and operating policies of Six Nations Polytechnic (SNP) while fostering positive relations with staff, students, stakeholders, and the community; contributing to a culturally supportive teaching, learning and work environment consistent with Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind).

Duties

The duties of the Human Resources Administrator include, without limitation:

Workforce Planning & Employment

  • Assisting with posting job vacancies, and scheduling interviews as required;
  • Under the direction of the HR Generalist, performing phone screenings and reference checks for applicants
  • Preparing and distributing Fee for Service and Instructor contracts, as required;
  • Aiding with the onboarding and orientation for new hires;
  • Inputting new hire information in the Human Resources Information Systems (HRIS);
  • Assisting with the development and implementation of the new hire orientation package;
  • Collaborating with the HR team to the develop, update, and implement forms and resources for staffing and employment conditions;

Pension & Benefits Administration

  • Administering pension and benefits for all applicable SNP employees, including new employee enrollment, termination of departing employees, periodic plan changes, and reporting and compliance;
  • Serving as the first point of contact for employee benefit or pension plan enrollment meetings, concerns, updates, and questions;
  • Coordinating with payroll for employee benefit and pension deductions and providing detailed updates in a timely manner;
  • Organizing pension and benefits training and seminars with providers, as well as managing the ordering and distribution of relevant plan materials;
  • Engaging with service providers to review and update employee pension and benefit plan structure and fees;
  • Promoting and managing the Employee Assistance Program for all employees;
  • Reviewing details and confirming information on all forms received from Managers and employees prior to processing; contacting Managers and employees for verification of information or for missing information;

Learning & Development

  • Assisting the HR team develop and implement forms, tools, and resources;
  • Under the direction of the HR Manager, researching and supporting the development of specialized departmental and all staff trainings;
  • Updating and filing professional development documents, as required;

Employee Relations & Engagement

  • Positively contributing to the creation and implementation of training and support resources, and materials for leadership;
  • Assisting with the development of employee rewards and recognition programs, wellness programs, and another employee engagement initiatives;
  • Researching employee engagement strategies;
  • Helping to administer employee activities that are in line with SNP’s mission and values;
  • Aiding with the facilitation of an annual employee satisfaction survey;
  • Helping to engage the workforce in activities and programs that endorse a climate free of discrimination, violence, and harassment;

General Administration

  • Completing the enrollment, maintaining and termination of employees in the HRIS system;
  • Ensuring all corresponding materials are up to date and distributed to employees and/or uploaded to Microsoft Teams;
  • Uploading documents and relevant e-mails to employee’s personnel files;
  • Managing and maintaining personnel files;
  • Creating reports in the HRIS, exporting to Excel, and extracting relevant data;
  • Developing and distributing HR reports to employees, senior leadership, the SNP board, and regulatory bodies;
  • Promoting and administering the Employee Assistance Program;
  • Developing and maintaining detailed HR process documents;
  • Organizing and maintaining all HR records and files;
  • Being a general support for the HR Manager, HR Generalist and HR Generalist;
  • Answering messages and e-mails promptly;
  • Providing administrative fill-in and support functions to other units within SNP, as required;
  • Prioritizing important tasks – leading to overall efficiency and effectiveness within the HR department and SNP overall; and
  • Other related duties, as required.

 

Qualifications

Education & Experience

  • Diploma, or Graduate Certificate in Human Resources, Human Resources Management, or Business Administration
  • Minimum of 1-year related experience in a similar role is preferred;
  • CHRP designation is considered an asset; and
  • Experience working in an Indigenous organization or the education sector is considered an asset.

Knowledge, Skills & Abilities

  • Demonstrated competencies in strategic thinking, coordination, analysis, policy development, and change management;
  • Knowledgeable and up to date on Federal and Provincial Employment Law, as well as Human Rights and Health & Safety legislation;
  • A general and current knowledge of Hodinǫshǫ:nih history, culture, values, contemporary issues, community priorities, and stakeholders;
  • Excellent communication skills with an emphasis on written expression (i.e., faultless spelling and grammar, and professional style);
  • Sound interpersonal skills including communication, organization, negotiation, and professional judgement;
  • Ability to work under pressure and manage schedules, portfolios, and timelines, to meet demanding deadlines;
  • Capacity to work both independently and in a team setting, demonstrating Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind);
  • Demonstrated familiarity with standard desktop computing programs, including spreadsheets, word processing, and database applications, on the Windows 2010 (or later) operating system; and
  • Contributing to a culturally supportive teaching, learning and work environment consistent with Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind).
