Title:                                                Fundraising Event Coordinator

Reports to:                                 Senior Leadership Team  

Location:                                      Hamilton, ON

Term:                                              Full Time, 40 Hours Per Week Hybrid Model 

Hours:                                            40 hours per week; flexibility is required

Target Salary Range:          $50,000 to $60,000 based on experience

Job Summary 

The Fundraising Event Coordinator is responsible for planning, organizing, and executing successful fundraising events and communication strategies that support the organization’s mission and financial goals. This role involves coordinating all aspects of events, from logistics and budgeting to sponsor and attendee engagement. Working closely with the financial team, the Fundraising Event Coordinator will develop engaging, impactful events to increase donor engagement, drive donations, and build strong relationships with the community and partners.

 

Key Responsibilities

  1. Event Planning and Execution
  • Coordinate, strategize, and implement fundraising initiatives in partnership with the Board of Directors and Senior Leadership Team, including both board-led campaigns and program-specific events.
  • Establish event goals, budgets, and timelines.
  • Manage all event logistics, including venue selection, vendor negotiations, and coordinating equipment and catering needs.
  • Attends events and ensures compliance with health, safety, and legal regulations for all in-person events.

 

  1. Sponsorship and Donor Engagement
  • Identify, solicit, and secure sponsorships from corporate and community partners.
  • Cultivate relationships with donors, sponsors, and vendors to enhance their involvement and support for events.
  • Develop sponsorship packages and ensure sponsor benefits are fulfilled.
  • Maintain and update sponsorship and donor records within the organization's fundraising database, ensuring accuracy and timely data entry.
  • Coordinates prospect and donor meetings, as well as supports funding proposals.
  • Implements donor cultivation, stewardship, and recognition activities to enhance engagement and support

 

  1. Marketing and Promotion
  • Create and implement event-related promotional materials and outreach strategies (e.g., email campaigns, social media, and press releases).
  • Manage internal and external event communications.
  • Promote events to target audiences to maximize attendance and donor engagement.
  • Maintain brand consistency and highlight the organization’s mission through all event communications.
  • Develop and execute strategic communication plans to support sponsorship outreach and engagement.
  • Create, update, and optimize content for the fundraising website to enhance donor experience and drive contributions.
  • Manage social media platforms by crafting and sharing compelling impact and program narratives to boost visibility and donor connection.

 

  1. Volunteer Coordination
  • Recruit, train, and manage volunteers to assist with event setup, execution, and takedown.
  • Ensure all volunteers are well-prepared and informed of their roles and responsibilities on the day of the event.
  • Plan and coordinate volunteer role assignments and training sessions.

 

  1. Post-Event Follow-Up and Evaluation
  • Conduct post-event evaluations to determine event success and identify improvement areas.
  • Prepare event reports, including budget summaries, donor lists, and attendee feedback.
  • Acknowledge sponsors, donors, and volunteers to show appreciation and foster continued support.
  • Other duties as assigned by Senior Leadership Team.

 

Qualifications and Experience

  • Minimum 2 years of experience in event planning or fundraising, ideally within a not-for-profit organization.
  • Formal education in event-planning and/or fundraising, finance or business with equivalent related experience is welcome.
  • Exceptional organizational and project management skills, with the ability to handle multiple projects simultaneously.
  • Strong written and verbal communication skills; ability to engage diverse audiences effectively.
  • Proficiency in Microsoft Office Suite and experience with donor management or event software (e.g., Raiser’s Edge, Eventbrite).
  • Proven negotiation and relationship-building skills.
  • Familiarity with digital marketing and social media platforms for event promotion.
  • High attention to detail and a proactive approach to problem-solving.
  • Ability to work both independently and as part of a team.

  • Ability to flex schedule to work evenings and weekends as required to support events.
