JOB SUMMARY: The Data Inventory Clerk Reports to and works under the direction and supervision of the Fire Chief, which includes matters pertaining to the policies and procedures of Six Nations of the Grand River Elected Council (SNGREC).

 

To assist the Fire Chief, Deputy Fire Chief, Battalion Chief(s) and Assistant Chief in the performance of statutory and operational services related to the Six Nations Fire and Emergency Services (SNFES) within the policies and procedures established by the SNGREC. In a manner consistent with values, vision and mission of the Six Nations Fire and Emergency Services.

BASIC QUALIFICATIONS:

  • College graduate in Business/Secretarial Arts, AND, one (1) year of related work experience.

And/or

  • Grade 12 graduate (or equivalent), AND, two (3) years of related work experience in an administrative/business setting.
  • Microsoft Office
  • Inventory and Data Base experience
  • Minute taking
  • Reception and clerical
  • Possess a valid class “G” Ontario Driver’s license.
  • Must be able to prioritize tasks and meet deadlines.
  • Possess initiative and ability to work independently.
  • Exhibit good organization skills and ability to take direction
  • Valid CPR and First Aid training.
  • Must be skilled in public relations and dealing with public.

SIX NATIONS FIRE DEPARTMENT

 

POSITION DESCRIPTION – Data/Inventory Clerk

 

REPORTING RELATIONSHIP:

 

Reports to and works under the direction and supervision of the Fire Chief, which includes matters pertaining to the policies and procedures of Six Nations of the Grand River Elected Council (SNGREC).

 

PURPOSE AND SCOPE OF POSITION:

 

To assist the Fire Chief, Deputy Fire Chief, Battalion Chief(s) and Assistant Chief in the performance of statutory and operational services related to the Six Nations Fire and Emergency Services (SNFES) within the policies and procedures established by the SNGREC. In a manner consistent with values, vision and mission of the Six Nations Fire and Emergency Services.

 

KEY DUTIES AND RESPONSIBILITIES:

 

  1. Technical Functions:
  • Perform other office or computer related duties that the candidate may be proficient in or may be required by the Fire Chief and Assistant Chief.
  • Develop and implement an inventory control tool, using Microsoft Access, Excel or fire service specific software.
  • Will assist in the performance of Inventory duties by documentation and prioritizing all equipment and materials within the Six Nations Fire and Emergency Services.
  • Provide clerical support to Six Nations Fire and Emergency Services administration staff as required by performing clerical duties and scheduling appointments as backup to receptionist/secretary when required.
  • Manages incoming inventory documentation and monitor daily and update, submissions, reports and other documents appropriately and efficiently.
  1. Administrative Functions:
  • Maintain and update the inventory filing systems as required.
  • Demonstrated abilities in Financial Administration; Accounting essentials Accounts Payable/Receivables, General Ledger, Timesheet

 

  • Computerized Software programs; Microsoft Office (Word, Excel, PowerPoint, Outlook and Access

 

  • Organizing packages and/or parcels and storing in a safe environment or reflective of need within all SNFES Building.
  • Open and distribute materials and equipment and coordinate the flow of information internally and with departments.
  • Stamp, date and store all incoming correspondence in daily electronic log.
  • Assist other staff in the maintenance of incoming/outgoing materials and equipment.
  • Maintain an orderly and professional workstation and inventory storage location.
  • Maintain a sign in/out record of inventory processing within all SNFES buildings.
  • Maintain meeting schedule if required.
  • Assist with organizing and setting up special meetings/events.
  1. Communications Functions:
  • Receive, record, direct and document all inventory via telephone, email etc. to organization staff and vendors.
  • Respond to general administration inquiries and program services as appropriate.
  • Will communicate with all SNGREC Departments and respond efficiently and professionally to inquiries and provide appropriate information as it relates to the Six Nations Fire and Emergency Services.
  • Develop and type clear, concise, accurate correspondence when transferring information to departments and/or Six Nations Fire and Emergency Services and SNGREC employees.
    • Send and receive messages and documents using the electronic/scan email.
  • Coordinate the flow of information internally and with other departments and organizations as it pertains to Six Nations Fire and Emergency Services.
    • Research and gather information using the internet.
    • Make the appropriate notifications and/or phone calls in the event of a vital emergency.
    • Greet, assist and direct visitors/guests to appropriate staff when required.

 

  1. Other Functions:
  • Assist in preparation of presentations, errands and special events.
  • Perform the backup role of Recording Secretary for SNFES Health and Safety, Officers and General Firefighter Committee meetings and other related meetings that take place after business hours.
  • Performs other related duties as may reasonably be required by the Fire Chief, Deputy Fire Chief, Battalion Chief(s) and Assistant Chief.

RESPONSIBLITIES:

 

  • In general, assist in regular day to day office duties, operations.
  • Provide clerical support to personnel and staff as required.
  • Participants will work with minimum supervision, reporting to Fire Chief on a daily basis.
  • Participants will set up own schedules, appointments, methods of collection for data.
  • Participants will represent him/herself and SNFES in a professional manner.

 

WORKING CONDITIONS:

 

Work involves extensive physical activity, mental stress, and extremely hazardous working conditions; required to work inside and outside in inclement weather conditions; requires extensive interaction with the public; subject to deadlines and unscheduled hours; ability to take direction; prioritize work schedule; ability to work independently.

 

Work has a high degree of contact with employees within the Six Nations of the Grand River Organization.

 

Work has a high accuracy requirement and is subject to deadlines and interruptions.  Prioritize work.

 

WORKING RELATIONSHIPS:

 

With the Fire Chief, Deputy Fire Chief and Assistant Chief

Receives direction, guidance and encouragement; discusses plans and priorities.

 

With other Departmental Staff

            Provides information and assistance regarding their requests for information.

 

With other Staff

            Courtesy, cooperation and teamwork with staff.

 

With External Agencies:

 

Represents and promotes Six Nations interests related to the Fire department, maintains awareness of legislation, policy and program changes; seeks to develop sound professional working relations.

 

KNOWLEDGE SKILLS AND ABILITIES:

IMPACT OF ERROR:

 

Errors in carrying out duties could result in financial loss and loss of credibility or legal/financial liability to Six Nations Council; errors in conduct would result in poor public relations; errors in duties could result in harm or fatal injury to employees, volunteers and the public.

Guiding principles set by the Fire Chief and by the Six Nations Council and the Six Nations Fire Department.

 

Works within the administrative policies and procedures established by the Six Nations Council for the Fire Department and other legislation provided by the respective government agencies.
